The Services let you capture, organize, tag, search, and share project photos and videos, record voice notes, and generate written reports — with associated location, project, and team metadata — through a web application and mobile application.

1. WHAT INFORMATION DO WE COLLECT?

Personal information you disclose to us

We collect personal information that you voluntarily provide when you register for the Services, express an interest in obtaining information about us or our products and Services, participate in activities on the Services, or otherwise contact us.

Personal Information Provided by You. The personal information we collect may include:

• names

• phone numbers

• email addresses

• mailing addresses

• job titles

• usernames

• passwords

• contact or authentication data

• billing addresses

• company name and business information

• project photos and videos, and other uploaded content

• photo and video metadata, including EXIF data and GPS coordinates

• project addresses and job site information

• client and customer names you enter into projects

• voice recordings and the text transcripts generated from them

• comments, notes, checklists, and tasks you create

• AI-generated captions, descriptions, and report content associated with your projects

Sensitive Information. We process precise geolocation data, which is treated as sensitive personal information under certain state privacy laws. We collect it as photo and video metadata in order to associate job site documentation with the correct project location, and to provide map and location features. We do not use or disclose precise geolocation for the purpose of inferring characteristics about you, and we do not sell it.

We do not process other categories of sensitive personal information, such as racial or ethnic origin, religious or philosophical beliefs, sexual orientation, health information, or biometric identifiers. Voice recordings are processed to produce text transcripts only; we do not create voiceprints and we do not use audio for identification.

Payment Data. We may collect data necessary to process your payment if you choose to make purchases, such as your payment instrument number and the security code associated with it. All payment card data is handled and stored by our payment processors and is not stored on our systems. Depending on how you subscribe, your payment is processed by:

Social Media Login Data. We may provide you the option to register using an existing third-party account. If you choose to register in this way, we will collect certain profile information from that provider, as described in How do we handle your social logins.

Application Data. If you use our mobile application, we may collect the following if you grant access or permission:

• Geolocation Information. We may request access to location-based information from your mobile device, either continuously or while you are using the application, to tag photos with job site locations and provide location-based features. You may change our access or permissions in your device settings.

• Mobile Device Access. We may request access to certain device features, including your camera, microphone, photo library, and notifications. You may change our access or permissions in your device settings.

• Mobile Device Data. We automatically collect device information such as your device ID, model, and manufacturer, operating system and version, system configuration information, application identification numbers, hardware model, internet service provider or mobile carrier, and IP address.

• Push Notifications. We may request to send you push notifications regarding your account or certain features of the application. You may turn these off in your device settings.

This information is primarily needed to maintain the security and operation of our application, for troubleshooting, and for internal analytics and reporting.

All personal information you provide must be true, complete, and accurate, and you must notify us of any changes.

Information automatically collected

This information does not reveal your specific identity but may include device and usage information such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how and when you use our Services, and other technical information. It is primarily needed to maintain the security and operation of our Services and for internal analytics and reporting.

Like many businesses, we also collect information through cookies and similar technologies.

The information we collect includes:

• Log and Usage Data. Service-related, diagnostic, usage, and performance information our servers automatically collect, including IP address, device information, browser type and settings, activity in the Services (date/time stamps, pages and files viewed, searches, features used), and device event information such as system activity, error reports, and crash reports.

• Device Data. Information about the computer, phone, tablet, or other device you use to access the Services.

• Location Data. Information about your device's location, which can be precise or imprecise, depending on your device type and settings. You can opt out by refusing access or disabling location services on your device. If you opt out, certain features of the Services may not work.

Google APIs. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Information collected from other sources

To enhance our ability to provide relevant marketing, offers, and services and to update our records, we may obtain information about you from other sources such as public databases, joint marketing partners, affiliate programs, data providers, and social media platforms. This may include mailing addresses, job titles, email addresses, phone numbers, intent or behavioral data, IP addresses, social media profiles and URLs, and custom profiles, for purposes of targeted advertising and event promotion.

If you interact with us on a social media platform, we may receive personal information about you from that platform, depending on your privacy settings there. Their use of your information is not governed by this Privacy Notice.

2. HOW DO WE PROCESS YOUR INFORMATION?

We process your personal information for a variety of reasons, including:

• To facilitate account creation and authentication and manage user accounts.

• To deliver and facilitate delivery of the Services, including storing and organizing your project photos, generating reports, transcribing voice recordings, and creating shareable galleries and links.

• To generate AI-assisted content such as photo captions, written reports, checklists, and translations, as described in Artificial intelligence features.

• To respond to user inquiries and offer support.

• To send administrative information, including details about our products and Services and changes to our terms and policies.

• To enable user-to-user communications, including comments and project collaboration among users in your account.

• To request feedback about your use of the Services.

• To send you marketing and promotional communications, in accordance with your preferences. You can opt out at any time.

• To protect our Services, including fraud monitoring and prevention.

• To evaluate and improve our Services, products, marketing, and your experience.

• To identify usage trends.

• To comply with our legal obligations, respond to legal requests, and exercise, establish, or defend our legal rights.

We do not use your project photos, voice recordings, or other uploaded content to train artificial intelligence models, and we do not permit our AI providers to do so.

3. ARTIFICIAL INTELLIGENCE FEATURES

Certain features of the Services use artificial intelligence provided by third parties. When you use these features, the relevant content is transmitted to the provider named below, processed, and returned to us.

Anthropic PBC

We use Anthropic's Claude models to:

• generate written descriptions and captions for photos you upload

• generate written report content, including section headings, summaries, and photo captions, from photos you select and any notes or voice narration you provide

• generate checklists from voice input

• translate comments between languages

Content transmitted to Anthropic may include photo images, voice transcripts, notes you type, project names, and related text. Anthropic processes this content to return a result to us and does not use it to train its models. Anthropic's privacy policy: https://www.anthropic.com/legal/privacy

Deepgram, Inc.

We use Deepgram to convert voice recordings into text transcripts. When you record a voice note or use walkthrough capture, the audio recording is uploaded to our storage, made available to Deepgram through a short-lived, time-limited access link, and transcribed.

Audio recordings are deleted from our storage after transcription completes. Any recording that is not deleted immediately is automatically deleted within one day by an automated retention rule. What happens to AI-generated content

Captions, transcripts, reports, checklists, and translations generated by these features are stored with your project data and are visible to users in your account, and to anyone you share a report or gallery link with. You can edit or delete them at any time.

AI-generated content may contain errors or inaccuracies. You are responsible for reviewing any AI-generated report, caption, or transcript before sharing it with a customer or relying on it.

Your choices

You may choose not to use AI features. Photo captioning runs automatically on photos you upload; if you would prefer that it be disabled for your account, contact us at support@field-view.com.

4. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

Vendors, Consultants, and Other Third-Party Service Providers. We may share your data with third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf and require access to such information to do that work. We have contracts in place with these third parties designed to safeguard your personal information. They cannot use your personal information except as we instruct, and they commit to protect the data they hold on our behalf.

The categories of third parties we share personal information with are:

• Cloud computing, hosting, and data storage providers

• Artificial intelligence and machine learning providers

• Payment processors and app store billing providers

• Data analytics services

• Advertising networks and retargeting platforms

• Communication and email delivery providers

• Customer relationship management and marketing platforms

• Error monitoring and performance tooling

• Mapping and location services

• Affiliate and referral program providers

• Finance and accounting tools

We may also need to share your personal information in the following situations:

Business Transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business.

Google Maps Platform APIs. We may share your information with certain Google Maps Platform APIs (for example, Maps API and Places API) to provide address autocomplete, mapping, and location features. Google Maps uses GPS, Wi-Fi, and cell tower signals to estimate location. We may obtain and store on your device ("cache") your location. You may revoke your consent at any time by contacting us.

Legal Obligations. We may disclose your information where required to do so by law or in response to valid requests by public authorities.

Affiliates. We may share your information with our affiliates, in which case we will require them to honor this Privacy Notice.

At your direction. When you create a share link, gallery, or report link, the content you include becomes accessible to anyone who has that link. You control what is included and can revoke a link at any time from within the Services.

5. CONTENT YOU UPLOAD ABOUT OTHER PEOPLE

The Services are designed for documenting work at job sites. The content you upload will often relate to third parties — for example, photographs of a customer's property, a customer's name and address entered as project details, or the voice of a person speaking during a recording.

With respect to content you upload or enter, you determine what is collected and why. We process that content on your behalf and in accordance with your instructions and our agreement with you. You are responsible for:

• having the rights and any necessary permissions to upload, record, and share that content

• complying with applicable law regarding photography, recording, and notice to individuals, including any law in your jurisdiction requiring consent before recording audio

• what you choose to include in a share link, gallery, or report sent to a third party

If you are an individual whose property or information appears in content uploaded by one of our users and you wish to make a request about that content, please contact the business that uploaded it. You may also contact us at support@field-view.com and we will forward your request to the relevant account.

6. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

We may use cookies and similar tracking technologies (like web beacons and pixels) to gather information when you interact with our Services. Some of these technologies help us maintain the security of our Services and your account, prevent crashes, fix bugs, save your preferences, and support basic site functions.

We also permit third parties and service providers to use online tracking technologies on our Services for analytics and advertising, including to help manage and display advertisements and to tailor advertisements to your interests. These third parties may use their technology to provide advertising about products and services tailored to your interests, which may appear on our Services or on other websites.

These technologies constitute a "sale" or "sharing" of personal information (including targeted advertising) as those terms are defined under applicable US state privacy laws. You can opt out as described under Do United States residents have specific privacy rights.

Google Analytics. We may share your information with Google Analytics to track and analyze use of the Services. The Google Analytics Advertising Features we may use include Remarketing with Google Analytics, Google Display Network Impressions Reporting, and Google Analytics Demographics and Interests Reporting. To opt out of being tracked by Google Analytics, visit https://tools.google.com/dlpage/gaoptout. You can opt out of Google Analytics Advertising Features through Ads Settings and Ad Settings for mobile apps. Meta Pixel and Conversions API. We use the Meta Pixel and Meta Conversions API to measure the effectiveness of our advertising and to deliver targeted advertising. This involves sharing event data — which may include your email address, IP address, and information about actions you take on our Services, such as signing up — with Meta Platforms, Inc. You can manage how Meta uses your information through your Meta account settings at https://www.facebook.com/settings, and you may opt out of our sharing as described under Do United States residents have specific privacy rights.

7. HOW DO WE HANDLE YOUR SOCIAL LOGINS?

Our Services offer you the ability to register and log in using third-party account details. Where you choose to do this, we will receive certain profile information from that provider. The profile information we receive may vary but often includes your name, email address, and profile picture, as well as other information you choose to make public.

We will use the information we receive only for the purposes described in this Privacy Notice or otherwise made clear to you. We do not control, and are not responsible for, other uses of your personal information by the third-party provider. We recommend you review their privacy notice.

8. HOW LONG DO WE KEEP YOUR INFORMATION?

We will only keep your personal information for as long as necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than the period in which you have an account with us, except as follows:

• Voice recordings are deleted after transcription completes, and in all cases within one day, by an automated retention rule.

• Backups may retain information for a limited additional period before being cycled out.

• Records we are required to keep for tax, accounting, fraud prevention, or legal compliance purposes may be retained longer.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize it, or, if that is not possible (for example, because it has been stored in backup archives), we will securely store it and isolate it from further processing until deletion is possible.

9. HOW DO WE KEEP YOUR INFORMATION SAFE?

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. These include encryption of data in transit, access controls on our systems, and restricting third-party access to file storage.

However, despite our safeguards, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.

Share links. Links you create to share reports, photo galleries, or projects are accessible to anyone who has the link, without a password. Treat them as you would any unlisted URL. You can revoke a link at any time from within the Services.

10. DO WE COLLECT INFORMATION FROM MINORS?

We do not knowingly collect, solicit data from, or market to children under 18 years of age, nor do we knowingly sell such personal information. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to the minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at support@field-view.com.

11. WHAT ARE YOUR PRIVACY RIGHTS?

Withdrawing your consent. If we are relying on your consent to process your personal information, you have the right to withdraw it at any time by contacting us using the details in How can you contact us about this notice. This will not affect the lawfulness of processing before withdrawal, nor will it affect processing conducted in reliance on lawful grounds other than consent.

Opting out of marketing and promotional communications. You can unsubscribe at any time by clicking the unsubscribe link in our emails or by contacting us. You will then be removed from our marketing lists. We may still communicate with you for service-related and other non-marketing purposes.

Account Information. If you would like to review or change the information in your account or terminate your account, you can log in to your account settings and update your user account. Upon your request to terminate your account, we will deactivate or delete your account and information from our active databases. We may retain some information to prevent fraud, troubleshoot problems, assist with investigations, enforce our legal terms, or comply with legal requirements.

Cookies and similar technologies. Most web browsers accept cookies by default. You can usually set your browser to remove or reject cookies. If you choose to do so, this could affect certain features or services.

12. CONTROLS FOR DO-NOT-TRACK FEATURES

Most web browsers and some mobile operating systems and applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard is adopted that we must follow in the future, we will inform you in a revised version of this Privacy Notice.

California law requires us to let you know how we respond to web browser DNT signals. Because there currently is not an industry or legal standard for recognizing or honoring DNT signals, we do not respond to them at this time.

We collect precise geolocation as photo and video metadata to associate job site documentation with project locations. We do not use or disclose sensitive personal information for purposes other than those permitted under applicable law, and we do not sell it.

We may also collect other personal information outside of these categories through instances where you interact with us in person, online, or by phone or mail in the context of:

• Receiving help through our customer support channels

• Participation in customer surveys or contests

• Facilitation in the delivery of our Services and to respond to your inquiries

We collect and share your personal information through:

Will your information be shared with anyone else?

We may disclose your personal information to our service providers pursuant to a written contract between us and each service provider. Learn more in When and with whom do we share your personal information.

We may use your personal information for our own business purposes, such as undertaking internal research for technological development and demonstration. This is not considered "selling" of your personal information.

We have not sold personal information for monetary consideration in the preceding twelve (12) months.

We have shared personal information for purposes of cross-context behavioral advertising (targeted advertising) in the preceding twelve (12) months. Under California law and several other state laws, this activity is treated as "sharing" or a "sale." The categories of personal information involved are:

• Category A. Identifiers (including email address and IP address)

• Category F. Internet or other similar network activity

We do not sell or share the personal information of consumers we know to be under 16 years of age.

Your Rights

You have rights under certain US state data protection laws. These rights are not absolute, and in certain cases we may decline your request as permitted by law. These rights include:

• Right to correct inaccuracies in your personal data

• Right to request the deletion of your personal data

• Right to obtain a copy of the personal data you previously shared with us

Under certain US state data protection laws, you can designate an authorized agent to make a request on your behalf. We may deny a request from an authorized agent that does not submit proof of valid authorization.

Request Verification

Upon receiving your request, we will need to verify your identity to determine you are the same person about whom we have information in our system. We will only use personal information provided in your request to verify your identity or authority to make the request. If we cannot verify your identity from the information already maintained by us, we may request additional information for verification and for security or fraud-prevention purposes.

If you submit the request through an authorized agent, we may need to collect additional information to verify your identity before processing your request, and the agent will need to provide written and signed permission from you.

Appeals

Under certain US state data protection laws, if we decline to take action regarding your request, you may appeal our decision by emailing support@field-view.com. We will inform you in writing of any action taken or not taken in response to the appeal, including a written explanation of the reasons. If your appeal is denied, you may submit a complaint to your state attorney general.

California "Shine The Light" Law

California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing using the contact details in How can you contact us about this notice.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Last updated" date at the top of this Privacy Notice.
